We&#8217;ll cover email accounts in detail in this guide and show you how to set them up.<\/li>\n<li><strong>Email Forwarding<\/strong> &#8211; Email forwarding lets you set up an address like <em>you@yourdomain.com<\/em> and have all emails sent to this address forwarded to your Gmail, Outlook, or other service&#8217;s (e.g. ISP) email address.<\/li>\n<li><strong>SMTP<\/strong> &#8211; You can send WordPress transactional emails from another email address that you own using any email service with valid SMTP credentials and our <a href=\"https:\/\/wordpress.org\/plugins\/branda-white-labeling\/\" rel=\"noopener\" target=\"_blank\">Branda white labeling plugin<\/a>.<\/li>\n<\/ol>\n<p>This tutorial focuses mostly on using <em>Email Accounts<\/em> and <em>Email Aliases<\/em> to set up emails for your business. We&#8217;ll also touch on using <em>Email Forwarding<\/em>\u00a0later.<\/p>\n<p>Before we go any further, let&#8217;s make sure that you understand the difference between an email account, an email alias, and email forwarding:<\/p>\n<ul>\n<li id=\"email-accounts\"><strong>Email account<\/strong>:\u00a0An email account has a mailbox where your messages are stored.<\/li>\n<li id=\"email-alias\"><strong>Email alias<\/strong>: An email alias does not have a mailbox, it just redirects the mail to the account you specify.<\/li>\n<li id=\"email-forwarding\"><strong>Email forwarding<\/strong>: We&#8217;ve touched on email forwarding above. This is where you create an email address that forwards (i.e. redirects) all emails sent to it to your &#8220;real&#8221; email address (e.g. a Gmail address). This is an option for individuals and small businesses that want to maintain a professional online reputation without incurring email hosting fees.<\/li>\n<\/ul>\n<p><em>Notes:<\/em><\/p>\n<ul>\n<li><em>Email hosting<\/em> and <em>email forwarding<\/em> cannot be used together on the same domain with WPMU DEV&#8217;s hosting, as they are different features and require setting up different MX records for the same domain.<\/li>\n<li>Before deciding on an email setup for your business, refer to our <a href=\"https:\/\/wpmudev.com\/docs\/hosting\/emails\/\" target=\"_blank\" rel=\"noopener\">email documentation<\/a> for more information on how to use our email services, how many accounts you can set up, how to configure emails to work with popular email services, etc.<\/li>\n<\/ul>\n<p>Now that we&#8217;ve got this out of the way, it&#8217;s time to get our emails on!<\/p>\n<h2 id=\"email-quick-setup\">Custom Domain Emails Setup Guide<\/h2>\n<p>So, you have purchased your domain name.<\/p>\n<p>Before we can set up emails for your domain on WPMU DEV&#8217;s hosting, we need to configure a few things.<\/p>\n<h3 id=\"setup-dns\">Set Up Your DNS<\/h3>\n<p>Below is a quick set up guide. For an in-depth tutorial, check out our post on using our <a href=\"https:\/\/wpmudev.com\/blog\/wordpress-dns-management\/\" target=\"_blank\" rel=\"noopener\">DNS management tool<\/a>.<\/p>\n<p>We&#8217;ll start with a newly-registered domain.<\/p>\n<figure id=\"attachment_199930\" class=\"wp-caption aligncenter\" data-caption=\"true\"><img loading=\"lazy\" decoding=\"async\" class=\"wp-image-199930 size-full\" src=\"https:\/\/wpmudev.com\/blog\/wp-content\/uploads\/2021\/08\/godaddy-domain.png\" alt=\"GoDaddy domain registration record\" width=\"600\" height=\"214\" \/><figcaption class=\"wp-caption-text\">We&#8217;ll use this newly-registered domain to set up our emails.<\/figcaption><\/figure>\n<p>I&#8217;ve also created a brand new site on WPMU DEV&#8217;s hosting using a temporary URL. Keep this text file open. You will need it to complete the next step.<\/p>\n<figure id=\"attachment_199939\" class=\"wp-caption aligncenter\" data-caption=\"true\"><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-199939\" src=\"https:\/\/wpmudev.com\/blog\/wp-content\/uploads\/2021\/08\/hub-set-up-dns-nameserver.png\" alt=\"The Hub DNS - Nameserver information.\" width=\"600\" height=\"317\" \/><figcaption class=\"wp-caption-text\">Don&#8217;t click the button just yet&#8230;we still need to configure your nameserver settings!<\/figcaption><\/figure>\n<h3 id=\"configure-nameservers\">Configure Your Nameservers<\/h3>\n<p>Your domain registrar keeps records of your domain, including where it should point to. If the registrar also provides web hosting services, the domain will typically point to their own hosting servers.<\/p>\n<p>If you want the domain to point to the servers of another hosting company (as we do in this example), then you&#8217;ll need to change the server address in the domain registrar&#8217;s nameserver records.<\/p>\n<p>We provide <a href=\"https:\/\/wpmudev.com\/docs\/hub-2-0\/domains\/#change-your-nameservers\" target=\"_blank\" rel=\"noopener\">detailed guides on how to change nameservers<\/a> for many popular registrars and hosting companies in our documentation section.<\/p>\n<p>For this tutorial, I&#8217;ll use GoDaddy, as this is where I registered the domain used in our example. Check our <a href=\"https:\/\/wpmudev.com\/docs\/hub-2-0\/domains\/#common-registrar-dns-guidance\" target=\"_blank\" rel=\"noopener\">list of registrars<\/a> for your specific domain(s) and follow the documentation tutorials to change your domain&#8217;s nameservers.<\/p>\n<p>As shown in the screenshot below, I&#8217;ve located the Nameserver records in my domain registrar&#8217;s DNS Management section, pasted in all three of WPMU DEV&#8217;s nameserver records from my text file into the Nameserver fields, and clicked the Save button.<\/p>\n<figure id=\"attachment_199941\" class=\"wp-caption aligncenter\" data-caption=\"true\"><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-199941\" src=\"https:\/\/wpmudev.com\/blog\/wp-content\/uploads\/2021\/08\/godaddy-dns-management.png\" alt=\"GoDaddy Nameserver screen.\" width=\"600\" height=\"400\" \/><figcaption class=\"wp-caption-text\">I&#8217;ve updated the nameserver with WPMU DEV&#8217;s nameserver details.<\/figcaption><\/figure>\n<p>Changing nameservers in this registrar required one more step, so I have given my permission to change the nameserver records and clicked on the Continue button as shown below.<\/p>\n<figure id=\"attachment_199942\" class=\"wp-caption aligncenter\" data-caption=\"true\"><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-199942\" src=\"https:\/\/wpmudev.com\/blog\/wp-content\/uploads\/2021\/08\/nameserver-warning.png\" alt=\"Nameserver changes warning popup.\" width=\"600\" height=\"305\" \/><figcaption class=\"wp-caption-text\">I have nothing built on my domain yet, so I&#8217;m not spooked by this warning message!<\/figcaption><\/figure>\n<p>That&#8217;s really all there is to changing nameserver records. If you do this step correctly (i.e. enter the correct details and confirm the change), all you need to do is wait a little bit for the information to propagate across the internet.<\/p>\n<p>To check if your domain has propagated, visit a website like <a href=\"https:\/\/dnschecker.org\/\" rel=\"noopener\" target=\"_blank\">dnschecker.org<\/a> or <a href=\"https:\/\/www.whatsmydns.net\/\" rel=\"noopener\" target=\"_blank\">whatsmydns<\/a> and either:<\/p>\n<ul>\n<li>Type in your domain name into the search field and select the &#8220;A&#8221; record search, or<\/li>\n<li>Enter one of your destination nameserver addresses into the field and selecting the &#8220;NS&#8221; record search.<\/li>\n<\/ul>\n<p>The recommended wait time for domain nameservers to fully propagate is normally 24-48 hours.<\/p>\n<p>I checked a few minutes after changing my nameserver records and my domain name had already fully propagated.<\/p>\n<figure id=\"attachment_199943\" class=\"wp-caption aligncenter\" data-caption=\"true\"><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-199943\" src=\"https:\/\/wpmudev.com\/blog\/wp-content\/uploads\/2021\/08\/dnschecker.org_.png\" alt=\"DNSChecker.org\" width=\"600\" height=\"346\" \/><figcaption class=\"wp-caption-text\">Wow&#8230;fastest nameserver propagation ever!<\/figcaption><\/figure>\n<p>Once your nameserver records have updated across the internet, return to the previous screen (The Hub &gt; DNS &gt; Manage DNS &gt; Nameserver) and click the <strong>Check nameservers<\/strong> button.<\/p>\n<figure id=\"attachment_199944\" class=\"wp-caption aligncenter\" data-caption=\"true\"><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-199944\" src=\"https:\/\/wpmudev.com\/blog\/wp-content\/uploads\/2021\/08\/hub-check-nameserver.png\" alt=\"The Hub - Check nameservers\" width=\"600\" height=\"317\" \/><figcaption class=\"wp-caption-text\">Now, let&#8217;s go ahead and click the button.<\/figcaption><\/figure>\n<p>You should see a confirmation message that your nameservers are propagating correctly.<\/p>\n<p>If not, wait a little while and try again. If you&#8217;re still waiting for the nameserver records to propagate, go back to your registrar and make sure that you have entered the correct nameserver addresses. email account DNS is not set up yet.<\/figcaption><\/figure>\n<p>You will see there are missing DNS records, which we need to add to our DNS setup.<\/p>\n<figure id=\"attachment_199994\" height=\"395\" \/><figcaption class=\"wp-caption-text\">We need to add these DNS records to make our email account work.<\/figcaption><\/figure>\n<p>Scroll up the page to find the DNS records, then select <b>Add DNS Records.<\/b><\/p>\n<figure id=\"attachment_199996\" class=\"wp-caption aligncenter\" data-caption=\"true\"><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-199996\" src=\"https:\/\/wpmudev.com\/blog\/wp-content\/uploads\/2021\/08\/add-dns-records-button.png\" alt=\"Add DNS Records button.\" width=\"600\" height=\"385\" \/><figcaption class=\"wp-caption-text\">Click the Add DNS Records button.<\/figcaption><\/figure>\n<p>Once you\u2019ve done this, recheck your DNS status and you should see that you\u2019re all good to go.<\/p>\n<p><strong>Note:<\/strong> In some cases, DNS propagation can take few hours <em>(even if we&#8217;re managing your DNS).<\/em><\/p>\n<figure id=\"attachment_199998\" class=\"wp-caption aligncenter\" data-caption=\"true\"><img loading=\"lazy\" decoding=\"async\" class=\"wp-image-199998 size-full\" src=\"https:\/\/wpmudev.com\/blog\/wp-content\/uploads\/2021\/08\/active-email-dns-ok.png\" alt=\"Email account DNS status ok.\" width=\"600\" height=\"189\" \/><figcaption class=\"wp-caption-text\">Our email account is now set up.<\/figcaption><\/figure>\n<p>After configuring the first email account, all new accounts you add will automatically get the green light.<\/p>\n<figure id=\"attachment_200001\" class=\"wp-caption aligncenter\" data-caption=\"true\"><img loading=\"lazy\" decoding=\"async\" class=\"wp-image-200001 size-full\" target=\"_blank\">many examples in our docs.<\/a><\/p>\n<p>Let&#8217;s use the one for <b>Gmail<\/b>&#8230;<\/p>\n<p>To send and receive emails from your WPMU DEV Email Account in Gmail, open Gmail in Mail.<\/li>\n<\/ul>\n<h3 id=\"email-alias-setup\">Email Alias Setup<\/h3>\n<p>If you have people managing different areas of your business like sales, accounts, support, etc., then an effective way to set up emails for your team is to give each member their own mailbox and create &#8220;departmental&#8221; aliases forwarding emails to your team member&#8217;s email accounts.<\/p>\n<p>Each person then sets up their email mailbox as shown in the previous example.<\/p>\n<figure id=\"attachment_200219\" class=\"wp-caption aligncenter\" data-caption=\"true\"><img loading=\"lazy\" follows:<\/p>\n<ul>\n<li>Sally configures the email <em>sally@mydomain.com<\/em> to send and receive emails on her Gmail account using a POP3 client.<\/li>\n<li>Jim configures the email <em>jim@mydomain.com<\/em> to send and receive emails on his Outlook service using a POP3 client.<\/li>\n<li>Bob configures the email <em>bob@mydomain.com<\/em> to send and receive emails on his Apple Mail account using a POP3 client.<\/li>\n<\/ul>\n<p>Next, we configure &#8216;departmental&#8217; email aliases for the following addresses:<\/p>\n<ul>\n<li><em>sales@mydomain.com<\/em> forwards (i.e. redirects) all emails to <em>sally@mydomain.com<\/em>.<\/li>\n<li><em>accounts@mydomain.com<\/em> forwards all emails to <em>jim@mydomain.com<\/em>.<\/li>\n<li><em>support@mydomain.com<\/em> forwards all emails to <em>bob@mydomain.com.<\/em><\/li>\n<\/ul>\n<p>To set up an email alias for your domain, go to The Hub, then locate your site, and select Hosting &gt; Emails &gt; Email email account.
